    3.2.2 Handling licences

    When your institution first registered for Assessment Expert it will have paid for a certain licence model and been allocated a set number of licences based on this model.

    Model 1 “Per Subject”: With this model you pay a fixed price per year based on the number of subjects using the system, but you get an unlimited number of user licences.  This model is best if you only intend to use this system for say one or two subjects.

    Model 2 “Per User”: With this model you pay a fixed price per year based on the number of users and are assigned a user licence limit, but you get an unlimited number of subjects.  This model is best if you intend to use this system for your whole school or if you have a small school.

    All this information can be seen at any time from the System Management screen, shown here:

    This panel shows you:

    • The licencing model you are using
    • How many active registered users you currently have
    • How many licences you own (either “subject”- model 1 or “per user”- model 2)
    • How many how have unused
    • The date your licences expire

    If you are using subscription model 2 “Per User” then all Student and Teacher accounts found in your import count towards your licence count.

    The initial user created for you at account registration can never be removed and will not count towards your licence count.

    Once you have run a successful import you can check this screen to see how many licences you have left.

    If you get close to using up your available licences or you start to approach your licence expiry date this is the screen which will warn you.  You may see various warnings as shown below:

    If you attempt to run an import which takes you over your licence limit the system will let you know how many more licences you need and will also let you know which of your new users could not be registered:

    If you are using subscription Model 1 “Per Subject” and you attempt to run an import which contains more subjects than you are allowed you will see the following error:
